General Responsibilities
• Lead operator of Shelby Arena Contributions Module
• Lead operator of ACS General Ledger, Accounts Payable, and Fixed Assets
• Develop and maintain volunteer counting teams for all campuses
• Manage all financial reporting, maintaining books and records and monitoring cash position

  • Prepare all monthly financial reports
  • Prepare year-­--end financial report for lender
  • Prepare financial data for GBC Annual Report
  • Perform financial analysis as required by XP

• Manage accounts payable, ensuring compliance with relevant policies and procedures

  • Ensure all disbursements are proper according to budgetary limitations, are supported by detailed documentation, and are properly recorded in ACS Financial records
  • Maintain staff credit cards
  • Maintain a petty cash fund
  • Update bank account weekly with all automated vendor deposits and withdrawals
  • Process vendor credit application requests
  • Oversee additional bookkeeping and accounts payable tasks performed by assistants

• Coordinate annual budget process and ongoing ministry budget review

  • Prepare reports for all ministries showing receipt and spending patterns over time
  • Identify budget line item variances during execution, help determine causes and find solutions to maintaining a balanced budget throughout the year

• Ensure compliance with all federal, state and local tax laws and requirements
• Oversee annual audit, including acting as liaison for auditors
• Manage bank relationships and overseeing bank reconciliations
• Manage payroll and benefit billing operations

  • Submit bi-­--weeklytimesheets and payroll for all employees, including 403(b) contributions
  • Maintain individual employee payroll, benefit and leave records
  • Prepare annual 1099’s for contractors
  • Maintain up to date personnel records with payroll service
  • Review payroll service federal and state tax payments, and W-­--2’s
  • Distribute W-­--2’s and 1099’s and file with IRS and State as needed
  • Maintain 403(b) plan
  • Prepare IRS annual healthcare reports as required, currently 1095/1096 forms

• Create financial models and forecasts to assist in decision-­--making
• Review, analyze and maintain all facets of property insurance, workers compensation insurance, health insurance and other employee benefits
• Oversee and report on weekly giving, review annual giving, produce year end giving reports, and maintain tax reporting requirements

  • Review contribution entries and make all bank deposits according to policy set forth by AMC
  • Process all automated giving, posting in the ACS General Ledger
  • Post all checks and cash to the appropriate funds in the ACS General Ledger
  • Prepare quarterly and annual contribution statements with full and complete confidentiality
  • Maintain Ameritrade account and other stock giving processes as required

• Negotiate purchases/leases for office equipment
• Maintain assets inventory
• Effectively lead a team of staff and ministry volunteers
