Looking for a spiritually mature Christian, who loves people.  Also needs to be highly organized, and who gets “energized” by managing multiple priorities and pursuing new opportunities.  Should have the spiritual gift of administration.  Must have a servant heart (believes in putting the needs of others ahead of their own).

Position                       MINISTRY COORDINATOR (full time exempt position)

 

Reports to                    Norm Schoenfeld, Pastor of Church Involvement

 

Role                             Work closely with and supports Pastor Norm Schoenfeld, a high capacity leader who has his fingers in many different parts of the church’s ministry.  The person would have some direct responsibility for some of the Sunday Connect Team ministries, as well as help support activities for men’s ministry, membership, stewardship, church events, and operations. 

 

Primary function is to provide administrative support for Norm and all of his ministries: everything from scheduling events, setting up registrations, promotions, event supplies, event setups, recruiting event volunteers, helping to organize meetings and events, budgeting and expense reports, filing, and handling inquiries. 

 

Secondarily, recruiting, training, scheduling, spiritually investing in, and providing oversight and support for the volunteers and their activities.

Responsibilities           

 

Schedule. Schedule weekly the volunteers for the Baking Ministry, Riverbend Café, and Resonate Usher & Greeter teams, working closely with the coordinators as well as

Norm.  Help recruit and schedule volunteers for large events as well (Christmas, Easter, and other events).  Maintain calendar and room bookings for all Norm’s areas.

 

Events.   Handle inquiries for any church events, quoting prices, booking, and planning events.  Forward any “non-church” events to Riverbend Centre(s)’ manager Sharon Dillard to handle. 

 

Baking Team & Riverbend Café Team.  Recruit volunteers, scheduling them, sending out encouragements and reminders weekly, ensuring volunteers are trained and show up each Sunday and the Café is set.  Develop leaders for these ministries to help with the workload.  Make sure materials are ordered for both ministries.  Ensure setup and cleanup of the Café each Sunday, and account for cash and provide to the accounting department.  Make sure, the café income exceeds the café expenses.

 

Inside Riverbend New Members Dinner.  Make sure volunteers are recruited, trained, show up

and the work gets done.  Prepare packets for the evening.  Follow-up to make sure dinners are being prepared within budget.  Make sure tables are set and decorated and signed.  Make sure any videos needed are available.  Make sure AVL coverage is in place.  Keep track of registrations, send out notification emails and email blasts.  Submit communication requests to Communications dept to promote the event.  Develop and share spreadsheets with all ministry areas for list of new members, class signups, etc., so that proper follow-up takes place.  Send out letters to all new members welcoming them as members.  Held quarterly.

 

Men’s Ministry.  Work with Men’s leadership team to plan annual Summit, Men’s Breakfasts,

and Weekly Men’s Groups.  Coordinate all registrations and communicate to the team. 

Coordinate all communication needs.  Help organize each event with name tags, sign-up sheets,

promotional materials, signage, and any other needs identified.  Keep track of budgeted

expenses vs. income for the Summit.  Keep website up to date for all Men’s Ministry activities. 

Order materials for men’s studies, retreats, etc.  Help plan meetings, materials, food, etc. for

various leadership team meetings,

 

Involvement.  Receive all volunteer inquiries that come in to the church and forward out to the

proper Pastors or their assistants for follow-up.  Follow-up specifically with ones that fall under

Norm’s areas. 

 

Communications.  Support Norm in maintaining all communications for Norm’s areas through: Wufoo requests, email blasts, social media posting, website updating, and flyers.

 

Admin Support.  Support Norm by managing his calendar, booking & modifying appointments as

requested, sorting and filing paperwork, and processing expense reports.  Anticipate his

meetings, meeting with him daily to ensure that all materials needed for are pulled together,

copies made, AV setup, etc., for each meeting.  Make arrangements for meeting spaces, and food when necessary. 

 

Church-wide Events.  Help Norm organize church-wide & his departmental events such as

Volunteer Appreciation events, Ministry Fairs on Sunday morning, Christmas Eve Services, and

other special events that are developed.  Help coordinate volunteer participation, logistical

support, staff involvement, communication needs, traffic management, etc.

 

Global Leadership Summit (GLS) – be the OEM (Operations Manager) for the GLS, recruiting all the 100+ volunteers to serve at this annual 2-day event, work through all of the logistics of registration sign in, resource center, meals and snacks, and more.  Attend training seminars put on by Willow Creek. 

 

 

Requirements              Works primarily Sundays – Thursdays (some events may require evening and/or weekend participation).

 

                                    College Education a plus.

 

                                    Proficient in Microsoft Office applications (Word, Excel, PowerPoint).  Graphic design skills a

                                    plus.

 

                                    Highly organized, thrives when multi-tasking.

 

                                    Strong Christian faith.
