Ministry Assistant Job Description
The primary role of the Ministry Assistant/Church Secretary is to provide support and assistance to the pastors and lay leadership of the congregation in coordinating and performing the work of the church office. An additional role is to provide help and
support for the members and the community who contact the office.
A. Administration of church office
a. Attend staff meetings with pastors and lay ministries coordinator when asked.
b. Create all worship bulletins with current announcements, financial information, and other information as directed and approved by the pastors.
c. Oversee the printing and assembly of bulletins and inserts.
d. Develop and print weekly prayer sheets.
e. Has primary responsibility for maintaining all church calendars by using the necessary forms for scheduling events
f. Coordinates and helps administer ministerial staff appointment calendars in conjunction with daily church office activities
g. Maintain mailing lists for various groups in the congregation
h. Prepare annual reports, directories and other materials as needed
i. Maintain all membership and household records in Ministry Tracker data base, and
appropriate paper files.
j. Prepare and mail all correspondence, sort and distribute mail, including guest letters when
k. Maintain attendance records in Ministry Tracker
l. Assist in preparing the annual report for the FL. Baptist Association
m. Control and request supplies for office maintenance
n. Maintain wedding policies and funeral packets for distribution as needed
o. Maintain copier, paper folder, and other office equipment and obtain service if needed
p. Recycle paper, catalogs, and toner cartridges and put in appropriate place as needed
q. Coordinate volunteers as needed for assistance with various mailings, reports, bulletins, etc.
r. Create attendance sheets for all Sunday School classes and track Sunday School attendance
s. If maintenance work is needed to be completed around building, notify Executive Pastor
t. Other duties as assigned
B. Reception & Support
a. Inform deacons & prayer chain of requests that are received in the church office, by phone, email or in
b. Reception & welcoming of visitors and congregational members to church
c. Phone support – answer, transfer, take messages, and assist the caller.
d. Transportation of church members – coordinate finding people to give rides to members who
no longer can drive to appointments.
e. Maintain papers and information for the Welcome Center. Sort and discard older out of
f. Evaluate and distribute email communication accordingly.
g. Provide support to congregation and visitors as needed
Ministry Accountability: The Ministry Assistant is supervised and accountable to the Executive Pastor and will take direction from all pastors as needed.
Qualifications: High school diploma or GED. BS or BA is preferred. Must be proficient in all Microsoft products, ability to utilize computer programs or willing to learn, experience in clerical duties, pleasant telephone skills, ability to work with minimal
direct supervision, ability to deal with confidential matters, comfortable being alone in building. Programs used include Ministry Tracker, and Microsoft Office, Adobe products.
Time Requirements: 40 hours a week (8:00 a.m. – 4:30 p.m.) Monday – Friday is the typical schedule but adjustments may be necessary for special events after hours and on weekends.
Compensation & Benefits: Salary is set by personnel committee at the recommendation of the Executive Pastor. For sick days and vacation days, please see personnel policies.
Evaluation: Conducted by Executive Pastor and may include the personnel committee if needed. Evaluations are done on an as need basis.
