Job Title: Administrative Assistant Reports To: Executive Pastor and Minister of Discipleship

FLSA Position Status: Full-Time Exempt Department/Ministry: Discipleship

Position Description:
The assistant to the Executive Pastor and Minister of Discipleship (MoD) assists with the administration of the day-to-day functions and duties of the Discipleship Ministry. This person carries out responsibilities in the following functional areas: technical/electronic, publications, clerical, and ministerial. Work hours may fluctuate based on ministry requirements.

Major Areas of Responsibility

I. Technical/Electronic
a. Take photos and videos of various Discipleship events
b. Manage Facebook page (including regular updates of photos, videos, and status updates)
c. Record and edit videos created by MoD
d. Upload videos to appropriate websites
e. Provide general technical support (e.g., Google docs, email lists, texting)

II. Publications
a. Meet with the Minister of Care and Connection as needed regarding overall publication concerns, and for editing and proof reading.
b. Meet with the Executive Pastor on a weekly basis to determine bulletin and e-letter priorities.
c. Meet with the Media Director on a weekly basis to communicate graphic design needs and scheduling.
d. Communicate print supply needs to the staff representative responsible for ordering.
e. Complete and submit invoices, expense reports and/or receipts for publication needs in a timely manner.
f. Facilitate or assist lay ministers with weekly publication printing, folding and bulletin insertions.
g. Maintain soft copy files of all worship bulletins for the previous 12 months.
h. Maintain hard copy files of all worship bulletins for the previous 36 months.
i. Serve as the information source for Care and Connection Ministries website updates.
j. Attend monthly staff-wide meetings as a publication representative.
k. Work with campus administrative assistants to assure back-up in every area of ministry support.

III. Clerical
a. Manage the calendar, including scheduling appointments, meetings or events, and initiating timely reminders to all involved parties.
b. Manage purchasing orders, receipts, and mileage records.
c. Attend meetings, record minutes, and distribute notes to all involved parties as directed.
d. Facilitate or assist Discipleship Group Leaders as directed.
e. Manage any relevant contact information on ACS.

III. Ministerial
a. Aid in Discipleship Ministries events as needed (including ordering and setting up food, drinks, books, etc.)

Skills/Knowledge/Abilities Required:

• Deliberate disciple of Jesus of Nazareth
• High School diploma or equivalent required
• Knowledge and implementation of correct American English spelling and grammar
• Enjoyment of other people; affable; able to work with others well
• Ability to multi-task efficiently
• Good knowledge of Microsoft Word, PowerPoint, Excel, Outlook, Google Docs, Video Editing software (e.g., Sony Vegas Pro, Adobe), Facebook, Twitter, and basic website development and maintenance
