Job Description:
I. Summary of Position:

The Impact Ministries Administrative Assistant is responsible for supporting Impact Ministries and the Center for Strategic Ministry (CSM). This person will perform a variety of administrative and accounting duties, and have significant interaction with and provide customer service to CSM staff and Ministry Partners. This part-time position reports to the Pastor of Impact Ministries.


II. Duties and Responsibilities:

A. Administrative support
1. Schedules appointments and maintains the daily calendar for the Pastor of Impact Ministries (pastor)
2. Screens Impact Ministries phone calls and handles calls where the pastor is not needed
3. Prepares meeting minutes, correspondence and documents
4. Opens and distributes mail
5. Maintains ministry and organization records
6. Provides administrative support for organizational projects
7. Supports short-term mission teams’ administrative needs
8. Submits advertising requests to Communications Arts Team
9. Updates information on Impact Ministries web pages
10. Orders supplies
11. Reserves rooms and other resources for staff and Ministry Partners
12. Responds to other organizational needs and functions
B. Accounting support
1. Responds to financial inquiries
2. Prepares and submits purchase orders to accounting
3. Monitors financial accounting for ministry projects and short-term mission trips
4. Reconciles expense and income records for short-term mission trip closeout
C. Presentation and document preparation
1. Assembles presentation documents, materials and graphics
2. Reserves and coordinates additional resources
D. Additional responsibilities as required


III. Minimum Requirements:

A. Education/Experience
1. Minimum five years administrative, accounting and project management experience
2. Proficiency in Macintosh, Windows XP, Microsoft Word, Excel, PowerPoint and Outlook and experience with Microsoft Access
3. Knowledge of general office equipment (i.e., copiers, printers, fax machines, etc.)
4. Strong customer service people skills, grammar skills, and phone skills
5. Ability to maintain accurate records with concentrated attention to detail
6. Works independently and takes initiative to complete all tasks
7. Ability to maintain confidentiality
8. Available to work weekends or evenings, as needed
9. A heart for worldwide and local missions
10. Demonstrates an ongoing relationship with Jesus Christ through regular prayer, Bible study and worship attendance
11. A member of WVC who supports the vision and values of WVC and the CSM
B. Physical
1. Position requires some light lifting of supplies and files
2. Possesses reliable transportation for travel, as needed to support position
