Job Description:
PURPOSE: Serve the church by directing the financial, property, legal and administrative affairs of the church. Provide leadership and supervision to office staff and volunteers serving on the Finance Board, Properties Board and Technology Board.

• Committed Christian and member in good standing of a Christian church
• Demonstrated capability to recruit, manage and care for volunteers
• Minimum of five years finance/accounting experience
• Working knowledge and experience with automated information systems
• Working knowledge of building and grounds maintenance
• Experience negotiating contracts and managing office equipment
• Experience in administration and organization
• Experience managing office and maintenance personnel

• Undergraduate degree in accounting, finance or business administration
• Certified Public Accountant
• Certified as a Fellow of the National Association of Church Business Administration

ACCOUNTABLE TO: Senior Pastor of Peace Lutheran Church

• Build relationships of respect and trust and team with the Finance Board to manage financial processes, reporting and all financial matters of the church
• Research, evaluate and sign all financial commitments and contracts with the approval of the Senior Pastor and Executive Director
• Ensure that accurate accounting records are maintained, including:
o Accounts Payable
o Accounts Receivable
o Bank account reconciliation
o General Ledger
o Monthly income statement and balance sheet
o Payroll
o Investment and tax reporting
o Individual contribution records
• Provide weekly status report detailing high level budget/actual numbers
• Provide weekly contributions report
• Under the direction of the Finance Board, perform all period-end activities and distribute all generated reports as necessary
• Prepare and mail quarterly statements to donors
• Coordinate development and preparation of the church budget
• Facilitate outside auditors in the annual audit process
• Ad hoc analysis and reporting as required by the Executive Director and Finance Board

• Coordinate and monitor purchasing of equipment, furniture, supplies and other items
• Research new business procedures, business systems, and financial programs
• Ensure that adequate insurance coverage is in place including:
o Staff Health Insurance
o Worker’s Compensation
o Property & Casualty
o Liability
• Ensure insurance policies are reviewed yearly and competitively bid every three years

Property Management
• Build relationships of respect and trust and team with the Properties Board empowering them to manage property issues and processes
• Supervise maintenance and upkeep of all buildings, grounds and landscaping
• Be focal point for any legal matter, obtain and distribute to all appropriate boards information on the laws governing non-profit organizations, including local laws and ordinances pertaining to church property
• Review and negotiate all service contracts
• Coordinate with the Properties Board to obtain competitive bids on all large repairs, renovations, and construction
• Implement the approved purchases for equipment, repairs, and replacement of church property as directed by the various boards
• Maintain inventory of all church property and equipment
• Coordinate and schedule outside use of facilities
• Supervise and manage off-campus real estate
• Anticipate and plan for future facilities development, based on projected space needs and program plans
• Coordinate with the Properties Board, contractors and architects, as needed, to facilitate renovation or relocation of facilities
• Security
o Review, evaluate, and maintain the church security system
o Distribute, recover, and track all church security system codes and door keys
o Be the first notified by security system monitoring company

Personnel Management
• Supervise office and support staff
• Work with Board of Elders and SR. Pastor to review and update Personnel Policies and Procedures
• Develop and maintain office and support personnel job descriptions
• Recruit, interview and recommend candidates for office and support staff positions
• Recommend and provide training for office and support staff
• Maintain accurate, up-to-date personnel files for all church staff
• Provide annual performance and productivity reviews for office and support staff
• Review and maintain appropriate benefits are in place for all staff and employees

Technology Management
• Build relationships of respect and trust and team with the Technology Board empowering them to manage all technology issues and processes
• Ensure effective use of Automated Information Systems (AIS) and all financial software systems
• Work with the Technology Board to keep all software and licenses current
• Work with the Technology Board to recommend hardware upgrades as technology changes
• Ensure training of church staff and volunteers on the use of the church AIS
• Ensure daily, weekly, and cyclical backups of all critical files are performed
• Maintain and ensure appropriate off-site backup storage for cyclical and annual backups
• Review, evaluate, and maintain the technology for the office, including telephones, copiers, security alarm, and audio reproduction equipment

Staff Responsibilities
• Represent staff on Finance Board, Properties Board and Technology Board
• Attend staff meetings and staff retreats
• Attend congregation and board meetings as a resource and for informational purposes as required
• Provide support to the Sr. Pastor, Executive Director, Elder Director, and Boards of Finance, Technology and Properties
