POSITION DESCRIPTION

POSITION: Youth & Children’s Administrator

Reports to: Pastor Youth & Children’s Ministry
Department: Youth & Children’s Ministry
Supervises: Volunteers and Interns
Works With: Youth & Children’s Ministry Staff
Classification: Full-time Administrative Support with Benefits

I. MAJOR PURPOSE AND SCOPE:

The Youth & Children’s Ministry Administrator provides management, administration, and communications for all programs, and special annual events for Youth & Children’s Ministry (YC). The Administrator will administer in accordance with, and communicate the Youth & Children’s ministry vision, “Love God, Love Others, Serve Others”. The Administrator will join with the Youth & Children’s Ministry Team and the congregation to reach LJPC’s objectives in congregational healing, stability of funding, growth and missions.


II. POSITION RESPONSIBILITIES:

• Develop goals, manage and implement efficient office administration.
o Work with YC Pastor to develop goals for smooth running administrative processes within YC. Also work with YC Pastor and YC Committee to develop personal goals.
o Empower, equip, and release ministry administrative volunteers, by knowing, loving and celebrating them.
o Schedule the use of ministry facilities, rooms and equipment as requested.
o Produce registration forms and manage the registration process for all ministry events in an accurate and timely manner.
o Manage and maintain ministry databases for students, volunteers, and families. To include weekly input and reporting, as well as year-end, summer and special event reporting.
o Order curriculum and ministry supplies as requested by YC Pastor.
o Conduct research for YC Pastor and Program staff as needed to facilitate programs and special event planning.
o Manage weekly set-up of ministry table in courtyard, kiosk, and distribution of any materials to classrooms prior to Sunday morning programming.
o Perform general office duties such as (but not limited to) copying, filing, and mailing.
o Work with YCC Support Teams, most specifically the Auction Fundraiser
• Manage and implement communication activities responsibilities for Youth & Children’s
o Assist in implementing the YC communications plan to ensure timely communication within the ministry (to paid/volunteer staff, children, and parents), to the greater body of the Church, and to the local community.
o Create and produce PR pieces for ministry programs and events as requested.
o Distribute ministry PR pieces, invitations, etc. through mailings, e-mail, Church bulletin, CM kiosk, courtyard & sign-tables.
o Track and notify YC staff of all relevant publicity deadlines.
o Communicate changes for YC pages on the LJPC website, to web manager.
o Respond knowledgably to all general ministry questions, both internally and externally, via phone and email.
• Manage administrative financial and budgeting responsibilities for Youth & Children’s
o Maintain accurate weekly accounting of ministry expenditures and report to YC Pastor and Church Business Department.
o Maintain accurate accounts for ministry events and report regularly to the event chair.
o Order and distribute supplies for ministry events as instructed by the event chair.
o Order and distribute supplies to volunteers for Sunday programming.
o Practice good stewardship through monitoring, maintenance, ordering, and distribution of ministry durable goods and supplies.
o Implement clean up policies for YC office.
• Staff Commitments
o Attend weekly LJPC staff meetings..
o Attend ministry staff meetings as required.
o Attend weekly one-on-one meeting with YC Pastor.
o Meet regularly with Program Staff to draw up schedule and deadlines for program administration.
o Lead Program Staff meetings in the YC Pastor absence.
o Attend monthly YC Committee meetings as requested.
o Attend required ministry training sessions and conferences.

III. QUALIFICATIONS AND EXPERIENCE REQUIRED:

• A Devoted follower of Jesus Christ
• College degree preferred
• Exceptional organizational/administrative skills
• Prior administrative work experience relevant to this position
• Good communication skills
• Ability to manage multiple projects/activities, from different sources, in parallel
• Good computer/database management skills
• Ability to work cooperatively with peers, volunteers, and superior(s)
• People skills/outgoing required, passion for children preferred
• Professional and positive representative of Family Ministry and LJPC
• 5 years Office Administration experience
