Office & Communications Manager

The Office Manager role is a full-time salaried administrative and management level position responsible for organizing, implementing, and sustaining the daily church wide Communications and Business Administrative functions in alignment with our core values - that we are all meant to experience and encounter the goodness of God. 


This position is specifically responsible for providing operational leadership and oversight of the communications, facilities, human resources, and office management functions and roles at Woodinville Alliance Church. This position reports directly to the Executive Director.

  • Applicant must have demonstrated a high degree of personal integrity and responsibility as an organizational administrator and communicator.
  • Applicant must have a minimum of a Bachelor’s degree in a related field. 
  • Applicant must have at least five years of proven business management experience in a multi-staffed environment.
  • Applicant should possess the spiritual gift of Administration.
  • Must possess a vibrant and growing faith in Jesus Christ.
  • Must be self-starter who enjoys working with and providing direction to a diverse public, staff, and volunteer base.  Many of the tasks and projects of the role require time management, self-discipline, and independent follow through.
  • Demonstrates a “can do” attitude. Fielding requests outside one’s explicit role is not uncommon.
  • Excellent organizational skills.
  • Excellent copywriting skills.
  • Proficient with social media and cloud based communication platforms. Facebook, Instagram, Office 365, Microsoft Office suite, Box, Constant Contact.
  • Proficient in Adobe Photoshop, Publisher (or equivalent), and other resources and software relevant to the production of print and digital imagery for publication and distribution.
  • Committed to participation in the body of Woodinville Alliance Church with the intent to become a member upon hire.

Office Management

  • Manage the Church Office: offering a knowledgeable and welcoming presence, answering phones, responding to email, and front desk activities.
  • Develop, maintain, and communicate the annual master church calendar.
  • Coordinate and schedule weekly Sunday Service activities including Order of Service logistics with other support and volunteer personnel.
  • Manage Planning Center Online (PCO) church management system and directory.
  • Provide staff and volunteer training on use and maintenance of Church management software (Planning Center On-line).
  • Produce the Weekly Figures report on church health: attendance, finances, membership, baptisms.
  • General clerical filing, primarily using on-line document repository system to archive church documentation.
  • Oversee and ensure regular office-related inventory and purchasing process.
  • Recruit and oversee office volunteer team and other administrative staff that may support the office manager.
  • Maintain the Lead Pastor and Executive Director calendars.
  • Prepare Governing Council agenda and presentation with Lead Pastor and Executive Director.
  • Coordinate, prepare and participate in annual Staff Retreat.
  • Responsible for overseeing, implementing, coordinating and maintaining the information management systems of the church.


Communications Management

  • Support Lead Pastor on sermon series content pertinent to weekly communications.
  • Coordinate all website development efforts and weekly change control procedures related to web updates.
  • Produce weekly on-line newsletter and print bulletin for Sunday service.
  • Oversee and calendar all church-wide web, social media communications, and blogs updates with the Youth Director.
  • Coordinate and publish weekly staff meeting agenda.
  • Coordinate and publish weekly/Sunday Communication Calendar with all staff and volunteer ministry leads.
  • Coordinate and publish weekly Church-wide facility use calendar building activities, classes, ministry events, Sunday Sermon series.
  • Provide staff and volunteer training on use and maintenance of Church management software (Planning Center On-line).
  • Develop and sustain Welcome Center Content and Direction in coordination with Welcome Team Leader.
  • Coordinate Sermon Series digital and print response strategy as determined by Executive Director.
  • Provide Communications, marketing, and project plans for all large church-driven events, such as fireworks and Gather.


  • Partner with the Manager of Facilities providing direction for staffing hours, facility usage, and building projects prioritization. Provide weekly reports to staff and key volunteers on building usage.
  • Provide, in conjunction with the facility team, meeting set-up support to lead pastor and Executive Director for church meetings, classes, and events they lead.
  • Ensure building set up and events-support personnel (kitchen, tech, etc.) are assigned for building use requests.
  • Process Building Event Requests and coordinate with requestors and support staff.
  • Act as staff liaison, providing oversight to “building committee & design committees” responsible for future building projects. Update and maintain regular internal communications and website information.
  • In coordination with the Building Manager, review and approve all financial and legal contracts related to facility.
  • Inspections and annual sign offs
  • Property Insurance Policy review and renewals


  • Responsible for the oversight of policies regarding cash gifts, non-cash gifts,  deposits, disbursements, preparation of financial reports, and maintaining an auditable record of all transactions.
  • Provide day to day support and direction for the Bookkeeper.
  • Assist the Executive Director in the monthly Expense approval process.
  • Serve as staff liaison to the Stewardship and Operation Team (SOT).
  • Coordinate  and support the Executive Director in the annual budgeting process and support annual meeting preparations.
  • Together with the Executive Director, Treasurer & Stewardship team - monitor the budget and create monthly reports and church wide communications (as needed).
  • Act as representative of the church in its relationships with financial institutions in cooperation with bookkeeper.
  • Oversee contribution processes and issue reports.


Human Resources:

  • Assist in annual review, development, communication, and enforcement of operating policies related to employee handbook and the building.
  • Oversee the recruitment, screening, benefits, and hiring process for all employees. Coordinate and at times conduct exit-intervie with terminated employees.
  • Develop and provide appropriate staff development opportunities and training in consultation with the Executive Director and the church’s vision and mission.
  • Coordinate annual staff evaluation process and salary adjustments as directed by Lead Pastor and Executive Director.
  • Oversee employee benefit administration and annual reviews.
  • Manage confidential personnel files
  • Ensure timecards are completed
  • Request Weekly pay check issuance for volunteers or contractors





Hours, Compensation, and Benefits

  • Full-time: 40 hours/wk
  • Salary Range (depending on experience):  $37,000 - $50,000
