Job Description:

The Administrative Assistant serves at Victory Cathedral to support, enhance and expand the vision / mission of the ministry. They will be responsible for serving as the first point of contact by answering phone calls and/or meeting with individuals as needed. The Administrative Assistant will be required to maintain the calendar (s), schedule (s) meetings, conferences, retreats, etc. of those they support. 

 

The candidate must be proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) in order to prepare materials and reports for meetings, retreats, and conferences. The administrative assistant will also need to provide administrative support as needed. 


POSITION RESPONSIBILITIES:

a)    Act as point of contact between the executives and internal/external members and clients

b)    Undertake the task of receiving calls, take messages, and routing correspondences.

c)    Handle requests and queries appropriately

d)    Maintain diary, arrange meetings, and appointments and provide reminders

e)    Make travel arrangements

f)     Create, organize and maintain files

g)    Plan meetings and take dictation and minutes and accurately enter data

h)    Write and distribute emails, correspondence memos, letters, faxes, and forms

i)     Produce reports, presentations, and briefs

j)     Develop and carry out an efficient documentation and filing system

k)    Submitting and reconciling expense reports

l)     Research resources needed to the office

m)   Possess ability to manage multiple projects simultaneously

n)    Assist with planning, staffing, and implementing all special events

o)    Booking and oversight of the guest experience for speakers

p)    Editing and proofreading ability.

q)    Possess a working knowledge of office equipment, such as computers, printers, copiers, and fax machines

r)     Provide support for Board meetings

s)    Ability to handle confidential information

t)     Attend regular Executive Team, All Staff, and other meetings, as needed

u)    Willingness to work after hours or on weekends, as needed

 

MINIMUM REQUIREMENTS & QUALIFICATIONS

a)    Bachelor’s Degree is Strongly Recommended

b)    5+ Years’ administrative experience; additional qualifications as a personal assistant would be considered an advantage.

c)    Excellent verbal, written, and interpersonal skills

d)    Full comprehension of office management systems and procedures

e)    Ability to effectively manage time, multi-task and prioritize daily workload

f)     Discretion and Confidentiality

g)    Proven ability to take on a variety of task without becoming overwhelmed

h)    Proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
