Job Title: Church Administrator

 

Reports To: Senior Pastor

 

Position Status: Full-Time Regular—Exempt

 

PURPOSE: The Church Administrator is responsible for managing the tangible assets, administrative affairs, and human resources of the church and working with members and staff to help achieve the church’s mission objectives.

 

RESPONSIBILITIES AND DUTIES: Directly supervise the administrative support staff and personally perform or supervise others in the performance of the following:

 

Financial Management

  • Serve as Chief Financial Officer of the church. As such:
  • Ensure that adequate internal financial controls are established and maintained.
  • Oversee the bookkeeping operation.
  • Serve as purchasing agent.
  • Provide financial management reports to the Session and Diaconate.
  • Work with the pastors to develop the annual operating budget.
  • Provide meaningful cash forecasts.
  • Provide financial information for special projects such as building campaigns.
  • Lead the way on fundraisers.
  • Oversee the accounting and other financial matters of the church.
  • Work with the staff and elders to prepare an annual budget for approval by the Session, and implement it upon approval.
  • Work with appropriate people and committees to plan and promote stewardship campaigns.
  • Obtain or restructure long/short-term debt financing.
  • Identify and implement means of raising revenue and cutting costs.
  • Ensure the church has adequate insurance, is in compliance with all applicable laws and governing documents, and meets all requirements for wage, tax, and other legal obligations placed on the church.
  • Serve as a resource to the Diaconate by providing regular reports on matters of its oversight

Personnel and Office Management

  • Give general direction to the weekday operation of the church office and supervise the administrative staff.
  • Assist the ministry staff with their administrative needs.
  • Develop and enforce personnel policies and procedures.
  • Administer the performance evaluation system for church staff.
  • Hire and terminate administrative and custodial staff in consultation with the Senior Pastor.
  • Periodically review wage and salary structures, personnel practices, and benefits.
  • Coordinate vacation and time away requests.

Property Management

  • Develop and execute policies and procedures concerning the use of church property and facilities.
  • Maintain attractive and functional church plant and grounds. Supervise custodial and landscaping crews.
  • Assist building committees in their work with architects, contractors, and others in evaluation, planning, building, remodeling and equipping church property.
  • Oversee the administrative support staff in the assignment of classrooms and church facilities for meetings and activities.
  • Work with the Security Team to maintain the security of the church.
  • Keep the technology of the office in working order (computers, copiers, phones, etc.).

 

JOB SKILLS AND REQUIREMENTS

  • An experienced, assertive decision-maker
  • A bachelor’s degree in business or related field and/or equivalent experience
  • Knowledge of computer systems, including word processing, membership software, social media, and financial reporting and accounting software
  • Skills in verbal and written communication
