Job Description:

I.  Position Summary

The Ministry Coordinator position will provide general administrative support and event coordination to the Associate Pastor, Middle & College ministries.          

 

II. Essential Functions

  1. Act as internal liaison between Middle School/College staff and other Ministry departments as well as external ministry related community businesses and organizations on behalf of the Associate Pastor.
  2. Prepare all general correspondence for Associate Pastor including memos, reports, responses to invitations, speaking engagements, and thank you notes.
  3. Coordinate all travel related services including flight arrangements, hotels, conferences, and meetings.
  4. Coordinate, draft, and prepare meeting agendas, visual presentations, minutes, updates, and reports for ministry staff meetings.
  5. Volunteer recruitment, oversees and organizes the adult volunteer staff working with the Middle School/College and other volunteer related events.
  6. Prepares all details for weekly rehearsals, special retreats, and other fellowship outings.
  7. Meet periodically with other administrative assistants to establish and provide communication and organizational efficiency between ministry departments
  8. Maintain calendar and secure appointments for the Associate Pastor.
  9. Assist Associate Pastor with yearly budget preparation.
  10. Keep track, organize, and prepare monthly expense reports for Associate Pastor.
  11. Plan, organize, and assist with event planning for special events for Middle School and College ministry. This would include off campus events and outreach.
  12. Answer phone, screen calls, take messages, answer questions and direct inquiries to the appropriate Ministry source as well as receive, sort and distribute Ministry incoming mail.
  13. Greet V.I.P. visitors and guests on behalf of the Associate Pastor.
  14. Organize and maintain Ministry confidential and proprietary files and documents.
  15. To perform other duties as workload necessitates.

 

III. Qualifications 

  1. Candidate must have a growing & mature, demonstrated personal relationship with Jesus Christ.
  2. Bachelor’s degree preferred.
  3. Minimum two plus year’s proven experience working at an administrative support level preferred.
  4. Previous Ministry Platform/Shelby experience a plus, not required.
  5. Ability to handle sensitive and confidential situations with poise, tact, and diplomacy.
  6. Exceptional verbal, written, and presentation skills to be able to professionally interact and communicate with individuals at all levels within the Ministry as well as with external Church members and other ministry organizations.
  7. Above average attention to detail in researching, composing, typing, editing/proofing materials, establishing priorities and meeting deadlines. 
  8. Efficient and accurate typing speed.
  9. Ability to work in a fast-paced environment with demonstrated flexibility and the ability to juggle multiple competing tasks and demands.
  10. A team player with the ability to cultivate a team spirit within the Ministry area and the Church.
  11. Effective problem analysis and resolution skills.
  12. Above average ability to be flexible, organize, manage time and set/shift priorities while meeting deadlines.
  13. Ability to develop, plan, and implement Ministry and Church related short and long-range goals, as well as to interpret, adapt, and apply guidelines and procedures.
  14. Ability to develop good relationships with a wide variety of people groups with the capability to motivate and encourage others.
  15. A sincere desire to see others grow spiritually.
  16. Proficiency with Microsoft Office Products (Word, Excel, PowerPoint).
