Family Ministries Administrative Assistant Job Description




The Family Ministries Administrative Assistant is responsible for organizing and facilitating the administrative needs within our Ministries to Families (this includes Fellowship Kids, Fellowship Students, Marriage & Parenting) of Fellowship Bible Church Dallas. The Administrative Assistant is responsible for (a) providing comprehensive secretarial, budgetary, and administrative assistance to the Family Ministry staff; thereby (b) increasing the efficiency and effectiveness of the team as a whole. (40 hours)




Daily Operations

  • Organizes and facilitates the administrative needs of our Ministries to Families, which includes correspondence and communication (i.e., bulk mailings, phone calls, emails, printed materials, etc.), and maintenance of up-to-date and well organized files
  • Manages and organizes all data pertinent to Ministries to Families including database entry and maintenance including attendance, headcounts, background checks, Ministry Safe administration, Volunteer references, Planning Center, ACS, etc.
  • Comprehensive, accurate financial record keeping (receipt processing, expense spreadsheet updates, childcare payroll, and weekly tithe contributions)
  • Assists pastors in the administration and preparation for events (Parent Dedication, Orange Banquet, Meals for trainings/events, Pre-Marriage Class, Kids & Student events, etc.) As well as calendaring all Kids, Student and Marriage and Parenting events through Service U.
  • Prepares reports as needed (e.g., various metrics reports, class rosters, monthly New Creations move ups, Yearly Promotion Preparation, monthly call lists for volunteer coaches, Core Family Lists, etc.) to further support the pastors who minister to families.
  • Processes visitor information weekly and funnels follow up to the appropriate pastor.
  • Provides purchase support for Kids, Student and Marriage and Parenting Ministries.
  • Keeps all relevant information on the website updated and posts curriculum and Parent Resources to website weekly for Fellowship Kids (coordinating with webmaster).
  • Provide basic administrative support for Fellowship Kids, Fellowship Students and Marriage and Parenting Pastors
  • Participates as the Subject Matter Expert for Planning Center, Service U, Managed Missions and ACS for all Ministries to Families.
  • Periodically assist in general administrative duties for the church including covering the front desk, ordering food, basic reports for other ministries, etc.

Annual Operations

  • Assist with Camp in the City scholarship management each summer.
  • Manages classroom assignments and promotion annually in ACS for Promotion Sunday

14. Previous work experience in a church environment preferred
