Restore Administrator – Gateway North


Responsible for

Restore Email/ Voicemail Accounts

i. Respond to all inquiries and requests that come through the Restore email.

ii. Respond to voicemails that come through restore@gatewaychurch.com.

iii. Connect people to Restore support, recovery, marriage or counseling resources

at Gateway or to other ministries or outside resources too as appropriate in

collaboration with the Next Steps team.

iv. Expect to engage with individuals seeking ministry support with sensitivity as

they often face challenging circumstances. Intentionally seek to discern

individual needs while assessing available resources, and communicate

opportunities clearly, consistently, and full of grace.

 

Restore Income and Expense Documentation Support

i. Deposit any income related to Restore and Recovery weekly.

ii. Create Restore and Recovery income report monthly for finance team.

iii. Maintain record of Restore and Recovery financial procedures related to income

and expenses.

iv. Support Restore pastor with processing expenses as needed.

 

Restore Recovery Support

i. Support and maintain records of participant involvement and contact info.

through our church database.

ii. Check on and support inventory procedures for the Gateway Recovery materials

we sell and distribute weekly.

iii. Process and deposit money collected from Gateway Recovery sales weekly. See

document outlining procedures for Recovery deposits in google.docs in section

titled Restore Finance Documents.

iv. Create and maintain new Recovery small group web information and set up

room reservations similar to the Support class responsibilities.

 

Restore 1 to 1 Support

i. Create and maintain the appointment/training calendar in google.docs

ii. Maintain the 1 to 1 “Volunteer List” with current contact info. And availability

status.

iii. Support connection for individuals and volunteers in setting, canceling and

rescheduling appointments.

iv. Proactively update volunteers on any procedural changes, supportive

community/professional information to aid appointments, and connect them

with Restore pastor as needed.

 

Restore Support Seasonal Classes

Support preparation, organization, and maintenance for all Restore classes each

season.

 

Pres-Session

a. Support Restore Pastor at campus connection events as needed

to promote and advertise Restore class opportunities.

b. Create and/or update registration forms for all classes that

season.

c. Maintain registration process throughout the window for class

registration each season.

d. Create and update class sign-in sheets for classes as needed.

e. Create and update Restore class contact info. rosters as needed

and share with leadership for that class only.

f. Reserve rooms for classes and childcare.

g. Arrange for web support for seasonal advertising and maintain

connection with web-support as classes approach to update

deadlines and class information.

h. Arrange for support with printing needs for the classes with the

print manager.

i. Work with Next Gen staff to arrange for childcare staff for the

season, and update the child-care rosters as classes complete or

if significant changes happen that affect child-care.

j. Support pastor by attending the pre-season meeting to share

logistical updates/reminders with all leadership.

 

Restore Classes In Session:

a. Connect with leadership as needed to support and complete the

registration/connection process as classes settle.

b. Work with web-support team to ensure that all class web

communication is clear, and that registrations close at the

appropriate time.

c. Note any materials that need to be reordered for the next

session. All materials for the classes should be redistributed by

the end of the 4th week of class at the latest.

d. Make note of any changes that would be useful for updating

forms or procedures for the next session.

e. Maintain any financial reporting associated with the Restore

classes until all registration is complete.

 

Post-Season

a. Clean up class boxes and storage cabinets as needed.

b. Revisit class materials and administrative inventory along with

timing for the next class start.

c. Update registration procedures and forms as needed.

d. Revisit timeline for the next season, and begin planning for the

next season.

 

Ministry Support

i. Answer questions regarding Soul Mates or the process for marrying at Gateway.

ii. Notify/request and connect couples with pastors for officiant requests from the

wufoo form when contacted.

iii. Keep google doc for marriage connections up to date.

iv. Support prep for marriage ministry coach workshops/trainings/classes.

 

Leadership Communication and Administrative Needs

i. Attend the pre-season Restore leadership meeting and provide current

guidelines for classes that season as needed.

ii. Support communication with leadership should unexpected circumstances

affect classes or groups.

iii. Stay connected to leadership communication initiated by the Restore pastor so

as to remain informed should questions or unaddressed considerations surface.

iv. Proactively seek opportunities to improve communication between volunteer

leadership and administrative team.

 

Connection Process for Individuals Interested in Serving with Restore

i. Share the “volunteer application” with individuals directly seeking the

opportunity with Restore. Once they’ve filled out the application, share it with

the Restore pastor.
