Reports to: Senior Pastor FLSA Status: Non-Exempt

Hours: Part-Time; Hours per week 20 – 25 Schedule: TBD


Job Summary:


The Administrative Assistant/Church Bookkeeper provides essential clerical, bookkeeping and administrative office support for the Sr. Pastor and assists with administrative aspects of general church operations to enable an effective, efficient, and caring ministry of Grand Avenue Temple United Methodist Church. Sensitivity to confidential matters is required.


Job Duties:


Pastor Support

  • Proof, publish, design and copy communication materials including worship bulletins, marketing flyers, and general correspondence.

  • Coordinate volunteers for worship (ushers/greeters/communion servers/liturgists, etc.).

  • Send correspondence, make phone calls and travel arrangements as requested.


Customer Service

  • Greet and assist guests during non-worship, office hours.

  • Answer the phone and provide correct information to callers, take messages, or transfer calls to appropriate individuals (Pastor, Lazarus Ministries, Church Council, or Team leaders). Retrieve phone messages and follow-up promptly with callers

  • Read and analyze incoming mail, email, faxes, memos, submissions, and reports to determine their significance and promptly respond or distribute accordingly.


Membership Records and Congregational Care

  • Produce, maintain, and update all directories and databases with current information.

  • Create and maintain records of all guests and work with the Pastor or appropriate individuals to initiate the follow-up process.

  • Assist in tracking the needs of the church community (hospitalizations, grief/loss, transitions, etc.).

  • Provide administrative support to church leaders and ministry team.


Reports, Documents, and Correspondence Creation and General Office Management

  • Maintain a calendar of all church functions, activities, meetings, and events.

  • Coordinate with service providers to ensure our needs are being met (example: Work with internet provider for best possible service at the lowest price available)

  • Maintain well-organized paper and electronic filing systems.

  • Maintain an inventory of office supplies and equipment and orders/purchases office supplies as needed.

  • Prepare accurate reports, memos, letters, financial statements and other documents in accordance with church and conference procedures using word processing, spreadsheet, database, or presentation software.

  • Produce and distribute a variety of church communication tools as requested by the Senior Pastor.

Knowledge, Skills, and Abilities:

  • Strong attention to detail to produce high quality and accurate outputs

  • Excellent time management and organization skills including the ability to plan and manage multiple concurrent projects and meet deadlines

  • Basic mathematical and accounting skills

  • Strong computer software skills in Microsoft, Excel, Word, Outlook, Numbers, Pages, and Keynote

  • Administrative and clerical procedures and systems skills including managing files and records

  • Excellent written communication skills with the demonstrated ability to compose grammatically correct and accurate correspondence, reports, memos, etc.

  • Excellent verbal, interpersonal, and customer service communication skills including the ability to communicate respectfully and professionally under a variety of situations

  • Ability to gather data, compile information, and prepare reports

  • Self-starter who can anticipate initiate, and complete tasks with minimal supervision and work independently

  • Demonstrated ability to maintain confidentiality

  • Database creation and maintenance skills (e.g., Microsoft Access).

  • QuickBooks or other accounting software experience



  • Familiarity with marketing/public relation principles and functions

Must be comfortable working alone in the facility
