Job Title: Office Administrator
Status: Full-time, Non-exempt
Reports To: Senior Pastor
Collects, processes, reconciles and distributes as appropriate information and/or reports regarding payroll and employee benefits. Oversees general operations and adherence to established policies and procedures as they relate to front office protocol.
Receives and conducts contact on behalf of Kainay Community Church through personal greeting and telephone contact. Provides administrative support to staff and congregation through information sharing and handling of routine office tasks. Prepares informational
communications to be distributed to Elders, congregants and staff.
Provides Human Resource functions, including but not limited to creation, review and/or revision of job description and review of policies to ensure proper and up-to-date documents and policies are in place.
Processes payroll, maintains appropriate files of same and issues payment to staff to ensure timely and appropriate adherence to financial commitments made. This includes, but is not limited to, gathering time sheets, entering information into the payroll
processing system, processing direct deposit to employee accounts and federal and state tax accounts, and issuing payroll checks where appropriate.
Processes and reconciles employee benefit information including enrollments, changes and terminations and maintains appropriate files to ensure accurate records.
Prepares appropriate payroll reports and records and distributes as appropriate to meet federal and state guidelines, including 941 and W2 among others.
Responsible for daily accounting and/or operational responsibilities as assigned. Oversees purchasing and disbursement of funds for all Trinity ministries (administer Purchase Orders, budget controls, monitor authorization, competitive pricing,) and makes
recommendations for improvement.
Carries out business and/or operational functions which may include duties such as interface between business operation staff and the Deacon Ministry, Care Ministry or other church-wide ministry to ensure appropriate assistance and guidance is given relative
to business functions.
Contributes ideas and plans for constant quality improvement to refine policies, systems and procedures within areas of responsibility, ensuring effective, efficient operation.
Assists in the budgeting process, working with staff to project and then accurately record income and expenses for each fiscal year to assure ministry financial goals are met.
Assists the Receptionist as needed, receiving employees and guests who enter the reception area with appropriate, positive attitude and offers assistance as requested to meet their needs. Provides the same positive service to those who call on the telephone.
Understands and supports the alignment and implementation of the articulated mission, vision and values of Kainay Community Church through the Administration Department and our ministries.
Processes incoming and outgoing mail to ensure timely receipt by staff or those to whom it is sent. Determines most cost-effective method for outgoing mail and processes it accordingly. Oversees bulk mailings. Acts as a resource for technical postage
needs of leadership groups (Elders, Deacons), staff and congregants.
Monitors office copy and mail machines and ensures that they are in proper working order to prevent disruption of business routine. Assists staff with large copy projects as requested and time allows and/or instructs staff on machine operation.
Oversees office staff.
Performs other duties as may be assigned or required.

Education: Bachelor’s Degree or equivalent combination of education and experience required, with coursework in the business field or equivalent combination of education and experience is required.
Working knowledge of Excel and Word is required; knowledge/experience with Quickbooks software is desirable.
Experience: Five or more years of experience in a business office setting with experience in payroll and employee benefits administration is required.

Work Skill Requirements: The ability to work well with numbers and detailed financial reports and inquiries is required. Ability to communicate effectively with a wide variety of persons and explain situations and issues while advising them
of alternative or appropriate courses of action is required. The ability to understand organizational operations is necessary.
Well-developed communication and interpersonal skills are required to successfully handle situations which may be critical to the success of church programs, operations and ministries. In-depth understanding of organizational operations is required to
