Job Description:



The Stewardship Coordinator’s primary duty is to ensure that all receipts are properly recorded and accounted for, correctly coded to general or department income accounts, fund accounts, and the donor database as well as deposited in a timely manner into church bank accounts.  Coordinates with the staff of other departments and accounting personnel as needed to fulfill duties.  Generate the year-end giving statements (tax receipts) to donors.  Coordinates communication with the donor and carries out the Stewardship plan with the CLT and Director of Finance and Accounting.  Other duties and projects performed as needed as well as those assigned. 


  • Organizes pick-up and drop-off of offerings with armored car transport.  Facilitates and implements any changes with Company or MPPC Campuses for Monday movement of offerings.
  • Preparation for Bank Count.
  • Oversees and supervises staff/volunteer cash count teams involved in weekend    
  • Bank count sessions each Tuesday at the bank, following established procedures.
  • Records cash receipts from checks, cash, online donations, sales of stock, and EFT sources into Fellowship One database systems. Includes processing refunds, NSF’s and adjustments made in the GL.
  • Responsible for Bank Deposits of funds and reconciliation with Fellowship One and GL Coordinator. Maintains records.
  • Communicates regularly with count team to make substitutions and changes where necessary
  • Performs Midweek Bank Count followed up by processing of checks and funds, distribution of records to departments GL Coordinator and A-Z file.
  • Oversees as well as performs matching of unmatched contributions and adding donors to database. 
  • Prepares weekly reports to cash receipts sheets and data with all necessary backup to produce Box in the Bulletin for publication with manager approval.
  • Generates annual giving statements to donors for tax purposes and responsible for distribution corrections mailing and follow up.
  • Prepares letters for donors and coordinates periodic and ongoing mailings.
  • Develops reports that show giving levels and spiritual growth of giver.
  • Attends Stewardship training to learn principles of church giving.
  • Coordinates Stewardship training sessions with the congregation, ie. FPU.


  • Responsible for maintaining integrity of donor database.
  • Process all checks and cash from bank counts making deposits, scanning checks into system and reconciling deposits with entries made in database Fellowship One.
  • Manage stock & other non-cash donation accounting and receipting, under direction of the General Ledger Coordinator and manager. 
  • Weekly reconcile cash account transactions to the general ledger and F1. 
  • Manage and schedule volunteer count team. Prepare records for the annual audit as requested.
  • Run reports in Fellowship One and evaluate updates in F1.  


  • Requires being able to access records in order to research and answer any questions for specific donations and or donors to Manager and Director of Finance.
  • Correcting any erroneous entries that have been made as needed
  • Correspond with donors on stock gifts and monitor stock log sheet entries and manually enter stock gifts in Fellowship One.
  • Resolve issues with donors when clarification or correction of donation is needed.
  • Must investigate issues and discrepancies and find resolutions for GL Coordinator, A/P Coordinator as well as interdepartmental accounting issues on an ongoing basis.
  • Work with donors and be adept at research donation and giving statement questions.
