Chief Operations Officer (COO)

 

 

Position:  Full-time, salaried                                                  Reports to:  Senior Pastor

 

The major purpose and responsibility of the COO is to serve as the church’s chief operations and financial officer.  The COO is specifically responsible for assisting the Senior Pastor with strategic planning, goal setting and ministry planning.  COO ensures the church and staff stays in alignment with goals and objectives. Responsible for oversight and assessment of the day-to-day business, financial and administrative affairs of the church including human resources, facility management, marketing, and other special projects. 

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

 

GENERAL

  • Pray for Senior Pastor, ministerial and administrative staff and Church family. 
  • Attend Church Service, Bible Study and church outings
  • Supports church in financial endeavors (tithes and offering, love offering, etc)
  • Represent Pastor at requested meetings and conferences (may require giving presentations).
  • Be early and prepared for all worship services and scheduled meetings.
  • Must establish and foster exemplary relationships with Staff/non-staff workers, church membership, business partners and community at large.
  • Perform other duties as assigned by the Senior Pastor.

 

BUSINESS LIAISON TO SENIOR PASTOR

  • Church Administrative and Ministerial Staff
  • Church membership
  • Businesses, Civil Government, and Community at-large
  • Provide pertinent information concerning church operations, fiscal budgets, financial trends, staff performance, facility management and marketing trends.

 

CHURCH OPERATIONS

  • Responsible for the execution and attainment of short and long-term operational goals
  • Administer and enforce church-adopted administrative policies and procedures to achieve the goals of the church
  • Serve as resource person regarding business and administrative matters of the church
  • Study semi-annually the insurance and benefits program of the church
  • Supervise all office & contract staff
  • Oversee hiring process, performance evaluations, disciplinary actions and termination process for office & contract staff
  • Maintain church records on church personnel
  • Provide training, seminars and other developmental programs to enhance staff development
  • Oversees and coordinates the details of the daily appointment/schedule calendar for the staff to ensure the most efficient use of their time.
  • Administrate Weekly Staff meetings (facilitate in Pastor’s absence)

e       Attend church meetings for global, visionary, and organizational matter, and to give financial updates for the church.

  • Work closely with the Senior Pastor during the design and construction stage to understand the facility in preparation for maintaining the facility.
  • Assist Senior Pastor in his relationship with architect, contractors, and others in building, remodeling, and equipping church facilities
  • Provide project management as assigned
  • Coordinate and assist with special events held off and on campus
  • Represent Pastor at requested meetings and functions

FINANCIAL ADMINISTRATION

  • Prepares, administrates, and reviews the annual budget process in collaboration with the Executive Team. Assist in presenting the budget to the Trustee Board for approval.
  • Oversees purchasing function by monitoring budget spending.
  • Oversees monthly, quarterly and year-end reports as needed.
  • Oversees the maintenance of an accurate filing, recordkeeping, and reporting system for all financial matters.
  • Oversees a process to insure that GAAP (General Accepted Accounting Principles) is maintained at all times.
  • Separation of duties

  • Follow proper payroll procedures
  • Make sure all income and expenses are properly accounted for and safeguarded
  • Responsible for monitoring internal controls and accounting procedures
  • Provide pertinent financial information to Senior Pastor i.e. monthly financial statements, budget forecasting and projections, financial trends, fiscal problem areas.
  • Review financial stewardship i.e. church operating budget, construction cost.

 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED FOR THIS POSITION

  • A bachelor's degree; a minimum of five years' direct financial, administrative and management experience, preferably in church or non-profit administration;
  • Excellent organizational, analytical, financial, and writing skills;
  • Proven ability to meet deadlines, develop and implement program policies and procedures, and manage changing and conflicting priorities;
  • Outstanding leadership, supervisory, interpersonal, and communication skills;
  • Tact, discretion, and ability to handle sensitive and confidential matters;
  • Mastery of Windows 2000, Microsoft Office 2000 (Word, Excel, Publisher, PowerPoint, QuickBooks PageMaker, Outlook), and a willingness to learn new technology and knowledge of database (Power Church); experience overseeing a variety of accounting transactions. Advanced training and/or demonstrated experience with IT;
  • Experience negotiating contracts, leases or agreements.
  • Management experience, conflict resolution skills, ability to properly delegate.
  • Self-discipline regarding personal time usage, and spiritual, physical and emotional health.
  • A Christian in full agreement with St. Luke Missionary Baptist Church’s statement of faith; willingness and ability to serve Christ and His church; spiritually mature.
