MISSION

Position:                    Mission Administrator (part-time, 10 hours)

Reports To:              Mission Pastor

 

Job Description

In support of MPPC’s vision to lead our generation into a transforming relationship with Jesus, and authentic community with each other, so that everyone in the Bay Area can flourish, the Mission Administrator will empower the outward mission of Menlo Park Presbyterian Church by providing operational and administrative support in the area of Mission. 

 

Job Duties

Event Registration

  • Own the creation of initial Formstack templates for Compassion Weekend
  • Manage Fellowship One, VolunteerSpot, and/or Formstack registration forms for short term missions and local serving events including cloning or creating new forms for each trip/ event and activating them
  • Ensure every event is counted in churchwide metrics

Short Term Missions

  • Run background checks on all applicants
  • Advise Global Director and Team Leaders on funding status of trip and team members as needed
  • Flag any participants who are not fully funded 2 weeks prior to departure
  • Ensure trip insurance is purchased as needed

Communication

  • Weekend Worship:
    • Enter mission updates for weekly worship bulletins or slides
    • Poll Mission team weekly to ensure all relevant events are included
  • Pioneer and Master Calendar:
    • Ensure local and global information from Mission staff is up-to-date
    • Organize and submit quarterly Pioneer information to Communications department
  • Website:
    • Own updating of the Missions web pages weekly, including Mission Trip meetings, upcoming events, and activation and closing of applications
    • Review online Mission Partner list quarterly with Mission team to ensure information is up-to-date

General Administration

  • Coordinate room scheduling and master calendar for Mission events and meetings; coordinate with other MPPC/ ODC administrative staff as needed
  • Sort through and distribute incoming mail
  • Ensure that the annual mission partner applications are sent out each spring, and keep received applications in an organized and accessible manner

 

Work Schedule

 

Part Time, averaging 10 hours per week; (e.g. Tue 9-1, Wed 9-12, Thu 9-12, or as assigned)

 

Gifts and Skills

  • Highly organized, able to manage information and details well
  • Ability to work with staff and volunteer teams with energy and enthusiasm
  • Competency with Word, Excel, PowerPoint, and familiarity or ability to learn ServiceU, Fellowship One, RegOnline, and FileMaker.
  • Good communication and interpersonal skills
  • Familiarity with Missions in a church setting desired but not required
  • Spiritual Gift of Administration helps
